Whether hosting a seminar, conference, or providing meals during a business meeting, it\u2019s important to be aware of the policies governing <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14187260%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">catering services<\/a> and <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14144470%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">meals<\/a>. These policies ensure responsible use of funds while maintaining food safety and quality. Here\u2019s a quick overview of the key policy provisions for your next UND event.<\/p>\n<h3><strong>Group Meals<\/strong><\/h3>\n<p>UND may initially pay for or reimburse <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14144470%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">meal expenses<\/a> when hosting dignitaries, guests, or events such as seminars or conferences. However, all meals must have a documented business purpose and expenses must be reasonable.<\/p>\n<p><strong>Important Notes:<\/strong><\/p>\n<ul>\n<li>Alcohol cannot be purchased with public funds.<\/li>\n<li>Food and beverage purchases must fit within specific categories to be eligible for payment or reimbursement (see <a href=\"https:\/\/campus.und.edu\/finance\/procurement-and-payment-services\/travel\/files\/meal-purchases-table.pdf\" target=\"_blank\" rel=\"noopener\">meal purchases table<\/a> for additional information).<\/li>\n<li>UND does not pay for or reimburse for meals, snacks, or beverages provided at regular staff meetings and activities.<\/li>\n<li>Group meals exceeding 125% of the General Services Administration (GSA) per diem rate require written justification for the higher cost.<\/li>\n<\/ul>\n<h3><strong>Campus Catering: Your On-Campus Food Service Provider<\/strong><\/h3>\n<p>UND\u2019s Campus Catering is the designated department responsible for food and beverage services on campus, supporting university functions and organizations. They ensure safe food practices, maintain high standards for food and service, and handle everything from menu planning to staffing. UND requires departments to use Campus Catering for any event with food service that exceeds $500. To help estimate your catering needs, it\u2019s important to consider the average cost per person. If your event is expected to exceed 125% of the GSA per diem threshold, reach out to Campus Catering for guidance.<\/p>\n<p><strong>Important Note:<\/strong><\/p>\n<ul>\n<li>Department meetings and events held off-campus are exempt from the <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14187260%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">campus catering policy<\/a>, as are non-UND sponsored\/hosted events at the Ralph Engelstad Arena, Gorecki Alumni Center, North Dakota Museum of Art, and Memorial Village.<\/li>\n<\/ul>\n<h4><strong>When Can You Use an Off-Campus Vendor?<\/strong><\/h4>\n<p>In certain cases, you may need to use an <a href=\"https:\/\/und.edu\/student-life\/dining\/catering.html#d65e245--5\" target=\"_blank\" rel=\"noopener\">off-campus vendor<\/a> for catering. Off-campus vendors must be approved to do business on campus, and meet UND\u2019s food safety, insurance, and equipment requirements. Campus Catering will provide a waiver if they cannot fulfill your request or if off-campus catering is more appropriate (such as for alcohol service). Campus Catering must approve all off-campus vendors for events exceeding $500.<\/p>\n<p>While activities held off-campus are exempt from this policy, events must still adhere to UND\u2019s <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14144470%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">meals policy<\/a>.<\/p>\n<h4><strong>Placing a Catering Order<\/strong><\/h4>\n<p>To ensure smooth <a href=\"https:\/\/und.edu\/student-life\/dining\/catering.html\" target=\"_blank\" rel=\"noopener\">food service for your event<\/a>:<\/p>\n<ol>\n<li><strong>Submit an Order Early<\/strong>: For events exceeding 100 guests, a three-week minimum lead time is required, and two weeks for all other events.<\/li>\n<li><strong>Complete the Order Form<\/strong>: Provide event details like date, location, menu, and number of guests.<\/li>\n<li><strong>Waiver Process<\/strong>: If Campus Catering can\u2019t cater your event, they will issue a waiver allowing you to work with an approved vendor.<\/li>\n<\/ol>\n<p>Additionally, you must make room reservations, complete an <a href=\"https:\/\/campus.und.edu\/safety\/resources\/special-events.html\" target=\"_blank\" rel=\"noopener\">event approval request form<\/a>, and comply with UND&#8217;s <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F17119442%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">events policy<\/a>.<\/p>\n<h3>What to Remember When Providing Meals at Your UND Event<\/h3>\n<ul>\n<li><strong>For events over $500, contact Campus Catering<\/strong> for menu selection, food safety, and quality.<\/li>\n<li><strong>Follow the <a href=\"https:\/\/und.policystat.com\/?lt=nEb9f5IPhIT42yu4MlKV8w&amp;next=%2Fv2%2Fpolicy%2F14144470%2Flatest%2F\" target=\"_blank\" rel=\"noopener\">meals policy<\/a><\/strong> to ensure all meals are business-related and justified.<\/li>\n<li><strong>Use approved vendors<\/strong> if you need an off-campus catering service.<\/li>\n<\/ul>\n<p>By following these, your event will comply with UND\u2019s policies while ensuring food safety and financial responsibility.
