Process Change: UND Foundation Monthly Finance Report Distribution

In collaboration with the UND Foundation, UND has developed reporting in the Information Builders/TIBCO Financial Reporting tool using UND Foundation data. On a monthly basis, departments have been receiving fund reports and/or fund activity reports directly from the UND Foundation.

Starting in April 2025, the UND Foundation will NO LONGER DISTRIBUTE THESE REPORTS. These reports can now be accessed in the TIBCO financial reporting tool at any time. Chief Business Officers (or equivalents) of every UND college/unit have been informed of this change. They and other TIBCO users will have access to run these reports. The data in the reports is current as of the end of the prior business day. This will give UND departments more current information to help guide spending their UND Foundation funds.

TIBCO users received information showing where to access and how to run the new reporting.

Below are some important factors to consider when running the new reporting:

• The UND Foundation does NOT have a fixed monthly close, the way that UND does.
• UND does not have any control over when the UND Foundation posts activity to the funds.
• To make sure that month-end reporting is inclusive of all monthly activity, please be aware of the following general timelines that are followed by the Foundation:
  • Gift and Credit Card Fees: These are posted on approximately the 10^th of the following month and backdated to the prior month that they relate to.
  • UND Flow-Through Fund Expense Reimbursement: These expenses are billed to the UND Foundation on a monthly basis. Reimbursement from the Foundation is received in the month following when the expense were incurred at UND. For example, expenses incurred at UND in the month of March are reimbursed by the Foundation in the month of April.
