New HCM Access Request GT eForm

The new, simplified one-page GT form is designed for your ease of use.

This announcement has been shared with HRMS users. As a supervisor, you will be able to initiate the form and will be an approver if access is requested for one of your employees.

Key Changes and Features:

  • No role names required: Initiators no longer need to enter specific role names. Instead, provide a brief description of the access the employee will need.
  • Predetermined position profiles: If selected, these will automatically identify the common roles associated with a specific position.
  • Additional access needs: Use the description box to provide any extra details about access requirements, if necessary.

Approval Process:

  • Once submitted, the form is automatically routed to the employee’s supervisor for approval.
  • Initiators can also add other required approvers using the Ad Hoc Approvers section.

Submission Process

This form is used to request security changes for an employee. As an initiator, your role is to provide accurate details to support the request.

Navigating to the Form

  • Login to PeopleSoft HCM.
  • Select the homepage drop down in the top left corner and GT eForms homepage.
  • Select the Dept Security Request tile.
  • Using the left navigation panel, select Dept Security Request Form.
  • After the page reloads, enter the employee’s EmplID or other search criteria onto the search screen.

Completing the Form

  • The header segment will display basic employee information.
  • The description segment contains two fields for the initiator to complete:
    • Position Profile (optional):
      • Dropdown with common departmental roles. Use only when adding roles.
    • Security Request Description (required):
      • Describe the security to be added, removed, or modified. Include specific details and business reason. Role names are not required, just a description of what access is needed.
        • Providing clear and complete descriptions helps your campus CACO assign the correct security.
        • Example: Need Job Data access, running register and actuals, query viewer access.

Data Privacy and Query Statement of Understanding

  • All new employees must complete the Data Privacy training before roles are granted.
  • If query access is requested, the Query Statement of Understanding within HCM must be completed.
  • If requesting QM2 role (allows query modification), query training must be completed prior to granting that access.
