Policy Highlight: Annual Leave

Each month, the Office of Human Resources will highlight a policy, enhancing awareness and ensuring leaders are well-informed. This will provide education and clarification to supervisors on policies relevant to to managing employees at the University. Additionally, this series of articles will enhance awareness and understanding of key institutional policies for our supervisors.

April’s Highlight: Annual Leave – Staff

UND offers annual leave to benefited staff members to ensure fair work/life balance. All requests to use annual leave must be pre-approved ahead of time by the staff member’s supervisor. Leave accrual/carryover and paid holidays are pro-rated for part-time benefited staff based on hours worked per week.

Annual leave has two additional usage requirements:

  1. A staff member can only carryover 240 hours each year
  2. Staff member must use 40 hours of annual leave each year*

*New hires are excluded from this requirement during the calendar year they are hired.

Policy Statement

Annual leave with pay is earned by benefited staff employees. Upon approval, annual leave may only be used in place of regularly scheduled work hours and shall not cause overtime.

Implementing in the Workplace

Prior to any employee using annual leave, the request must be submitted in advance of the usage to the staff member’s supervisor for approval. Employees and supervisors should review the Using & Reporting Leave site, the UND Staff Handbook, and NDUS SBHE policy.

Ex. Luca has two employees who have missed work in the last pay period.

Lex A part-time non-benefited staff member who notified Luca he would be gone last month for a week to visit family. Lex is not benefited, and so cannot receive annual leave. Lex will go unpaid for the days that were missed.
Kennedy A staff member who emailed Luca two months ago to request a day off, and to use annual leave to fill in the missing time. Luca approved Kennedy’s request to use annual leave after she submitted the request via email. Kennedy submits the annual leave Employee Self-Service for Luca to approve following the day.
